Using Google Workspace for your Dental Practice Email

We've seen many different HIPPA-compliant email systems for dental practices out there. Most are incredibly archaic and date back to the 1999 AOL feel. GoogleWorkspace (google's work email service) offers incredible benefits at a great price. They also offer HIPPA Compliance. Here is how to set it up:

  1. You need your business domain name (website address). There are many domain registration services, we recommend Google Domains for the ease and price. Google domains allow you to search and buy a domain name. This gives you exclusive access to that website address.

  2. Select a Google Workspace Plan- the Business Starter plan works for most dental practices. This will give you access not only to email but to Google Sheets, Calendar, Docs, Slides, and other Google apps that you can use in different aspects of your practice.

  3. Your domain administrator (think Google Domains, GoDaddy, etc) will need to update the MX records. This sounds more complex than it is. Here is a link on exactly how to do that. This enables your email address (drhello@foreversmiles.com) to work on your domain (foreversmiles.com).

  4. In order for HIPPA compliance to work, you'll need to accept the HIPAA Business Associate Amendment

  5. Once the domain has been verified by Google, you'll be able to login to your Google Workspace account anytime at mail.google.com

  6. Using Aliases- to start you may want to great a few Alias emails. Google allows you to create alias emails that route to your email free of charge. What is an Alias email? For example, if your email was drhello@foreversmiles.com, you could create an alias email hello@foreversmiles.com. If someone emails hello@foreversmiles.com it will come right to your inbox. So this allows you to direct a patient-facing email that will route to your email.
